What to put on a photographer's invoice

Photography bills split cleanly into time and deliverables, and the invoice reads best when it keeps them separate. Put your shoot time on its own line — either a flat session fee or an hourly rate with the hours as the quantity — then list what the client actually keeps as separate lines: the edited gallery, prints, an album, or a licensing fee. A client who sees “Event coverage (6 hrs)” and “Edited gallery” understands exactly what they are paying for, which is the difference between paying on time and replying “what's this for?”.

Two details protect you specifically as a photographer. First, if you took a retainer or deposit to hold the date, add it as a negative line (a discount) so the invoice shows the full value of the work and the balance due — the client sees the real price of what they got, not just the leftover. Second, note usage rights where they matter: “personal use” versus “commercial license” belongs on the invoice or in the notes, because it is the thing clients most often assume they got for free.
